Work instructions for Finance Officers Supporting Colchester.


Epping District Council finance officers have their own devices and this solution article will support their access.

It is assumed that the officers have already logged into and registered their ColchesterCC Office 365 accounts.

It is further assumed that they have setup authentication as part of this process.

There are a number of steps that need to be completed.


Office 365 Sign In

  • Using Edge, open in InPrivate Browser.
  • Browse to https://portal.office.com.
  • Sign in using the assigned ColchesterCC Office 365 credentials to the Work or School account.
  • Authenticate as required.
  • Left click the waffle tile in the top left to expand the menu,




  • Left click the icon for Win10. 
  • If that is not visible, left click more apps below this and then search for Win10 from the search bar at the top, left click Win10 from the icon that is shown.




Live Desktop Sign In

  • Once you have launched the Win10 icon, you will be prompted to sign into CloudApps. 
  • The field labelled email address, please enter your ColchesterCC email address.
  • The field labelled password, please enter your ColchesterCC office 365 password.
  • Once signed in you will be presented with a list of links. Please choose the one labelled Live Desktop.
  • this will download a file to your device that launches the remote desktop connection.   Left click on it to launch the file.
  • If it is not visible, check your downloads folder.
  • it will launch a remote desktop conenction. Click the Connect button to launch this.
  • If you are presented with a login screen, please enter your ColchesterCC credentials again.
  • if you are prompted for your CCC credentials, please enter them again. Once you have accepted this you will need to authenticate again as you did when signing into Office 365.


Accessing Efinanials, Eprocurement and other Apps


Once in Live Desktop, you can access the applications you need.

Though CloudApps can be accessed outside of Live Desktop, access to the Finance folder and data is needed and this can only be done from Live Desktop.


Map K: to the finance files.

  • A network drive needs to be mapped to ensure you can access the finance data.
  • Open Windows explorer. Look for "This PC" down the left hand side and right click it.
  • From the drop down menu, left click Map network drive...
  • Select K: from the drop down options next to drive.
  • In the text box next to folder type \\cbcazfs010\accessfinance
  • Click finish. You will see a finance folder list if you have access to these files.


To access the K Drive in other apps. Load them from Cloudapps in Live Desktop.

Click Open in Access Utils or finance for example and then brin up an explorer window to map the K: drive to \\cbcazfs010\accessfinance as before.




IMPORTANT NOTE

If you need to reset the profile for one of these apps, Live Desktop, GenApps or Finance Apps, the K: drive mapping will need to be added manually again.

This will need to be done for all collections that the end user has.


Load Outlook to the Finance email account

  • Launch Outlook.
  • When prompted change the email address from your name to [email protected]. click next.
  • You will then be asked what account you want to use to access this mailbox via an authentication screen.
  • Change the email address from finance.systems email address to your CCC email address and OK.
  • If you have permissions to this mailbox you will be prompted to finish the setup.
  • If not, then it will fail and a call will need to be raised to give you that access.

Load Eproc/Efin/My Budget etc.

  • From the Desktop, double click the icon CloudApps
  • It will take to the same screen you looked at when trying to load Live Desktop
  • Once signed in as before you will open the folder Finance Apps Hosted. This will display the finance apps.
  • Click on the one you need and launch it as you did for Live Desktop.
  • Open the remote desktop file and launch the app, signing in as needed.
  • Once the app is loaded you will need to use the Finance sign in credentials you have been given for that app.
  • If you have no credentails, please check with the line manager or email [email protected].
  • If you use Filezilla, look under the folder Capita R&B for that app. If it is not present please ask your line manager to raise a call to add these permissions to access the app.
  • Once assigned you will need to sing off cloud apps and sign in again to apply those permissions.


Sign Out of CloudApps & Live Dekstop

  • When you have finished your work it is important to sign off in the correct way.
  • Close all the apps you have open in live Desktop, including CloudApps.
  • Click the windows icon, then the profile icon (shown in red)  and finally select sign out from the list.   
  • Close or sign out of Cloud apps.
  • Sign out of the Colchester Office 365 page via your profile icon.
