Please read the following instructions carefully when returning ICT equipment to ICT at Rowan House.
Organising Equipment Returns
If you're experiencing issues with a CBC device, please raise a call via the ICT Portal and provide the following information:
- Description of the issue you're having
- Device Asset Number
- This should be a red label on the device e.g. "Property of CBC - CBC11045"
- Contact Number
We will communicate with you either via the ticket you have raised or a phone call to diagnose the issue. If we come to the conclusion that your device needs to be looked at by an ICT Advisor, you'll be asked to return the device to Rowan House for repair. In this event, please use the below guidance to return ICT equipment to us safely to ensure all necessary protocols are followed.
We aim to deal with these requests within 2 weeks with exceptions being made in priority situations. In situations where you are unable to come into Rowan House, separate arrangements may have to be made.
Returning Equipment to Rowan House <
When returning ICT equipment to Rowan house, whether that be for disposal or relating to a ticket you have raised with ICT, please use the cleaning station in reception with anti-bacterial wipes provided to clean the device and any items that accompany it. Once cleaned, please leave the device with reception in a plastic bag with a note stating your name and a ticket reference which you should have been provided when you raised a ticket with ICT.
Returning Equipment on Behalf of Colleagues
If you are handing over any CBC devices to another colleague, they must come through ICT first. This is so that we can securely wipe any data on the device before the next person uses the device, keeping in line with GDPR regulations. This also ensures the device receives the latest security and feature updates, providing a safe and efficient experience for the end-user. In this situation, please raise a call via the ICT Portal and include the following details:
- Current user of the device
- New User of the device
- Requester contact number
- Device Asset Number
- This should be a red label on the device e.g. "Property of CBC - CBC11045"
- Contact Number
We will then arrange for you to drop the device into Rowan House reception where you can follow the steps listed above for "Returning Equipment to Rowan House". Once we have carried out the required service, we will inform you via phone call or the ticket you have raised. The device will be wiped down again by ICT and placed at reception for collection by the new user of the device.
Returning Equipment Directly to ICT
If you have arranged to deliver equipment directly to ICT under special circumstances, this should have been planned in advance with the member of ICT and arranged via a ticket. In these cases, please use the cleaning station provided in Pod 3 of Rowan house where ICT is located and leave the equipment with the member of ICT that you have liaised with, remembering at all times to observe the Governments 2-meter distancing rules.
